Workflow management tools in 2026

Operations and service teams look for this when recurring work (customer jobs, service requests, approvals, onboarding, purchase requests) runs through email and spreadsheets, sign-offs get lost, and someone spends the day chasing people. They want each item to follow fixed steps with a clear owner, a recorded decision at each approval, and a reminder or escalation when something sits too long. Most are replacing email and a shared sheet, a SharePoint or Power Automate setup, or a per-user tool whose bill grew faster than the team.

Which workflow management to choose in 2026

Pipefy is the best overall choice for an organisation running several request processes. On the core needs it misses nothing except a published price, and it is ahead on the secondary ones (email and chat notifications, dashboards, connectors, mobile). Its weakness is cost, with per-user, quote-only paid plans and a free tier capped at 50 cards a month, so get a quote for your real headcount before committing. Track40 is the better pick for a team of around ten running one or two job pipelines. It matches Pipefy on approvals, time limits and history at a published US$12 per editor with free viewers, but its notifications are in-app only and it has no dashboards, mobile app or account-free request form. Tallyfy wins when the work is a procedure that clients or outside staff help complete, and Smartsheet or monday suit teams that already use them and can live with handoff rules they enforce themselves; Nintex is the paid default for enterprises that need on-premises or SharePoint. Among open-source options, ProcessMaker is the only one close to complete as shipped, and the rest (Frappe, Corteza, Operaton, Flowable) need developer work before a team can use them; none of them pairs a board by step with time limits and escalation out of the box.

Best for running request processes across several departments Pipefy Pipefy covers the core needs with the fewest gaps. It has boards by phase, approvals, late alerts, public forms with a request tracker for non-users, required fields and full history. Expect to talk to sales about price, since paid plans are per user and quote-only, which is the most common complaint in its reviews. Best for a small service team that wants every job on one board at a known price Track40 Approvals, required fields and business-hour time limits that trigger notifications all come in one US$12 per editor plan, and viewers and requesters are free. Check that in-app notifications, saved views instead of dashboards and the lack of a mobile app or account-free request form are acceptable. Best for procedures where clients or outside staff complete steps Tallyfy Kick-off forms, conditional steps, deadlines with reminders and free guest access suit onboarding and client-facing procedures, and prices are published with a one-seat minimum. It shows runs as a tracker rather than a board of items by step. Best open-source workflow system to run on your own server ProcessMaker ProcessMaker is the open-source entry closest to a finished product. It offers forms, assignment and routing rules, a request list with status, due dates and history without writing code. Reports, saved searches and public web entry need paid packages, and processes are modelled in BPMN. Best base for developers building their own workflow system Frappe Frappe gives role-gated states and transitions, kanban views, web forms, email alerts, version history and a REST API on any document type you define. You add time limits, escalation and the domain model yourself.

What workflow management software needs to do

  • See where every request is and who has it Everyone needs One view lists every open item with its current step, owner and whether it is late, and the person who raised it can check progress without asking.
  • Approvals with the decision recorded Everyone needs A step waits for sign-off from named people, who approve or reject with a comment, and rejected items go back for rework instead of dying in an inbox.
  • Reminders and escalation when work sits Everyone needs Each step can carry a time limit, and when it passes the system reminds the owner or alerts someone else, so nobody has to chase by hand.
  • Request forms anyone can fill in Everyone needs Requests start from a form, including one that customers or staff without a paid account can submit.
  • Set up and changed by the team itself Everyone needs An operations person can build and change a process in days without a consultant or developer, and occasional users need no training.
  • Affordable for a team of ten plus occasional users Everyone needs The price for ten regular users is published and modest, and requesters, approvers or viewers who only take part now and then do not each need a full paid seat; for open-source entries, the open-source edition is free to run.
  • Record of who did what and when Everyone needs Every change, move, decision and comment on an item is kept with the person and time, so disputes and audits can be answered.
  • Required information before handoff Most need An item cannot move on until the fields the next person needs are filled in and valid, which ends the back-and-forth over missing details.
  • Different paths for different requests Most need Rules send an item down a different route, or show different fields, based on its values, such as amount, department or request type.
  • Notifications by email or chat Most need People hear by email, Slack or Teams when an item lands on them or runs late, not only when they open the app.
  • Reports on volume and delays Most need Dashboards or reports show how many items come in, how long each step takes and where they pile up, without exporting to a spreadsheet.
  • Connects to the tools already in use Most need Ready connections to email, chat, Microsoft 365 or Google and other business systems, plus an API and webhooks for the rest.
  • Approve and update from a phone Some need A mobile app or phone-friendly screens let field staff and managers act on items away from a desk.
  • Self-hosting Some need The system can run on the buyer's own server for data control or closed networks.

Pipefy
Kanban pipes with required phase fields, late alerts, public forms, a request tracker for non-users and approvals cover the core needs well. Cost is the drawback. The free Starter plan allows 10 users but only 50 cards a month and no guests, paid plans are per user and quote-only, and reviewers on Capterra and GetApp name price, slowness on busy days and limits on complex logic as their main complaints.
Tallyfy
Kick-off forms start a run, rules show only the steps that apply, steps carry deadlines and reminders, and guests complete their tasks free from a link. Prices are published per full or light seat with a one-seat minimum; the tracker shows runs that are on time or late but there is no board by step, and deeper analytics is a paid data feed add-on.
Kissflow
Form-driven processes with SLAs and escalation, parallel and conditional approvals, and boards for case-style work. Pricing is quote-only on fixed annual agreements, and reviewers mention costs that climb with users and limits on complex logic, so it suits mid-size companies standardising many internal requests more than a team of ten.
Track40
Every job sits on one board that free viewers and requesters can see, phases can require approval from named people, and per-phase time limits on business hours fire a late trigger that automations use to notify someone. It costs a published US$12 per editor with a 30-day trial and imports Pipefy pipes; the gaps are notifications that are in-app only, no confirmed form for people without an account, saved views and CSV export instead of dashboards, and no mobile app.
Nintex
Enterprise forms and workflow, long used on SharePoint, with delegation, automatic escalation after a set time and multi-party approvals, in the cloud or on premises. Each workflow is built in a designer, usually by IT, and pricing was not confirmed on a public page.
Process Street
Checklist workflows with stop tasks that hold a run until required steps are done, conditional logic, dynamic due dates and built-in approvals. Work is seen as checklists and reports rather than items by step, every plan is priced through sales, and reviewers ask for more reporting flexibility and better mobile use.
ProcessMaker
The most complete open-source (AGPL-3.0) workflow suite, with a BPMN modeler, a screen builder for forms, assignment and routing rules, a request list with status and history, and task due dates with overdue counts. Saved searches, public web entry and connectors sit in paid packages, and building a process means modelling it in BPMN.
Smartsheet
Spreadsheet rows with card view, forms, approval requests, conditional automations, an activity log and dashboards, with free contributors who can submit forms and answer update requests. Steps and handoff rules are whatever the sheet design makes them, and there is no time limit per step.
monday work management
Boards, forms, automations and dashboards that many teams bend into a request workflow, at published per-seat prices with free viewers. Approvals, required fields per step and time limits are assembled from columns and automations rather than enforced, and plans start at three seats.
Creatio
No-code platform with a BPMN process designer and a case designer that arranges work into stages, in the cloud or on premises. It does the job as a CRM-centred platform that needs configuring per process, and its pricing page could not be read today.
Jotform
Jotform Workflows chains forms, tasks and group or conditional approvals with due dates, reminders and email notifications. It is strongest for form-started approvals; there is no view of items by step, and the published plans are single-user, with multi-user teams on Enterprise pricing.
Bonita
Bonita (now published by Ofelia) runs BPMN processes with task contracts, actors and forms built in Bonita Studio, and its portal lists cases and tasks. Each workflow is a development project, and monitoring and SLA dashboards are part of the commercial offer.
Frappe
Any document type gets a workflow of states and transitions limited by role and condition, with email alerts, kanban and list views by state, web forms, version history and a REST API. It is an MIT framework, so a developer defines the documents first, and there are no time limits or escalation per state.
Corteza
Apache-licensed low-code platform for record-based apps with a visual workflow editor offering triggers, gateways, delays and user prompts with confirm or reject buttons. Approvals, reminders and request intake have to be assembled from these pieces by an integrator.
JeecgBoot
Java low-code platform with online forms, reports and permissions. The README describes Flowable-based approvals, but the open-source repository contains no BPM module beyond email templates, so the workflow part is treated as paid.
Operaton
Community fork of Camunda 7 under Apache-2.0, shipping the BPMN engine, REST API and the Tasklist, Cockpit and Admin web apps. Tasklist gives a working inbox for human tasks and timers can drive escalation, but forms, notifications and process design are developer work.
Flowable-engine
Apache-licensed BPMN, CMMN and DMN engines with Java and REST APIs for orchestrating human tasks. Version 7 ships no end-user task app, so every screen people work in must be built.
Activiti
Apache-licensed BPMN engine, the original from which Flowable split. It is an embeddable engine with no end-user interface, useful only to developers building their own workflow system.

  • Permissive: 6. Use it anywhere, including in closed products. You keep the copyright notice; Apache-2.0 also grants patent rights.

  • Weak copyleft: 1. Changes to the licensed files must be shared, but you can link them into a closed program.
